Business Officer - Bookings & Courses Team

About the role

We have a vacancy for a permanent part time 25 hour Business Officer to join the Bookings and Courses Team in the Education Directorate, based at Sunley House, Papworth Everard. We adopt a hybrid and flexible approach to work, so you will have the option to work from home as well.

The primary support will be to the SEND training team with the administration of courses and bookings which are made through our online booking system. Our customers range from Cambridgeshire Primary Schools to Early Years Professionals.

We are looking for an experienced, efficient, and flexible person to provide high quality administration support. It is an interesting and varied position that will require flexibility and initiative to meet the demands of the role.

The successful candidate will be able to undertake various daily activities and previous experience in the role is not essential as we offer development with training and ongoing support.

What will you be doing?

The role includes:

  • A customer service approach across the whole team is paramount as we respond to queries (most are course related but IT support relating to the booking process is also given) from the teams we support as well as customers via phone and e-mail.
  • General course support can include sourcing venues, updating our booking system with course details, marketing courses to our customers, preparing course materials, evaluation forms and attendance lists, invoicing customers for attendance, paying invoices for venues, consulting with internal/external trainers, and logging all course activity using Excel.
  • Updating and maintaining an accurate record on training teams Outlook calendar and send out invites to trainers.
  • Our customers book courses through the Learn Together website located under Directory of Courses Learn Together Cambridgeshire - Learn Together (cambslearntogether.co.uk)
  • Co-ordinating and organising all administrative tasks, undertake daily activities as directed by the service.
  • Adhere to business processes to achieve a quality and consistent service.  
  • Use inhouse data recording systems to update information as and when required.
  • Provide flexible cover for other services with their training when required.

About you

Working as part of a team you must possess good interpersonal and communication skills. You will need to be able to manage your own workload; to keep calm under pressure and be able to work to tight deadlines. You will support your co-workers with their workload during absence and during busy periods. You should have a methodical and concise approach to tasks and the ability to prioritise workloads effectively whilst being able to multi-task. You will need to demonstrate that you have a comprehensive understanding of Microsoft packages (Word, PowerPoint, Excel, and Outlook) and be IT confident. Training and 1:1 support will be provided on all in-house systems
