  • To be responsible for the personnel administration and HR processes
  • To lead on providing effective line management of support staff, including the administrative team.
  • To provide administrative support to the headteacher, senior leaders and school business manager
  • To manage payroll on behalf of the headteacher

What will you be doing?

We are looking to recruit an experienced and ambitious office manager to join our team. We are particularly interested in hearing from administrative professionals with a vision for exceptional administration and who can lead change and inspire a team. We envisage exciting times ahead as we look to evolve our administrative processes and systems.

 

This is a pivotal role and will involve working alongside senior leaders, including the school business manager,  to co-ordinate the smooth running of the school as well as shape the future of school operations. Getting the right person in post is important for us so although this is currently a full-time role we are willing to consider part-time or flexible working options.

 

 

Your main areas of responsibility would be:

  •  To actively model and promote the values and ethos of the school

  •  To be responsible for the personnel administration, HR processes and payroll
  •  To lead on providing effective line management of support staff, including the administrative team.
  •  To provide administrative support to the headteacher, senior leaders and school business manager

About you

School support

● To ensure the effective delegation of the tasks within the office team as appropriate, providing the necessary training and support to ensure all processes are carried out to a high standard.

● To contribute to the strategic development of the school, assisting the headteacher and SBM in ensuring the school has the appropriate admin structure to meet current needs.

● To provide advice and guidance to the administration team on responding to complex enquiries or complaints

● To lead on the evaluation, development and implementation of office systems, including keeping abreast of new technologies and software which could improve such processes.

● Assist with the development of marketing and promotional materials including the school website, prospectus and open events

● Interprets and implements legislative guidance relevant to the administrative processes including ensure GDPR compliance

● Completion and maintenance of the single central record

Financial support

● Uses current financial systems and procedures and supports the school business manager in ensuring the school has robust financial controls in place

● Manages the payroll on behalf of the headteacher

Support to school leaders

● Acts as clerk to the governing body when required, providing appropriate support and guidance to school governors enabling the effective functioning of the governing body

  •  Provides advice and guidance to school leaders on all personnel and HR matter
  •  Provides PA support to the headteacher and senior leadership team
  •  Liaises with personnel provider over payroll, pension and staff records

 

 

Supervision and management of others

● To contribute to the development of and ensure adherence to all school policies and procedures by team members

● Manages the performance of agreed teams, identifying priorities and targets, promoting good team work and acting to address underperformance

● Provides training, direction, mentoring and coaching to enhance the performance of the team through the development of others

● Manages the recruitment and selection process for all school posts ensuring adherence to safer recruitment practises

● Contributes to the development and implementation of health and safety policies and practices across the school

 

Other duties and responsibilities

To ensure all duties and responsibilities are discharged in accordance with the school’s health and safety at work policy

To participate in the school’s performance management scheme, ensuring that performance standards and targets are set and met within the agreed time scale

To undertake other reasonable duties commensurate with the grade of the post

Conditions of service

The conditions of service are governed by the National Agreement on Pay and Conditions of Service, supplemented by local conditions as agreed by the school governors
